Privacy Policy

Effective 28 August 2026. This policy replaces the version dated 25 January 2022.

This policy explains what personal information Superior Carpet and Ducts collects, why we collect it, who we share it with, and what choices you have. It covers our website and the services we provide at your home or business.

We are a local cleaning company, not an advertising business. We do not sell your personal information, and we never have.

What we collect

When you contact us or book work

  • Your name, phone number, email address and the city you are in — the fields on our contact form;
  • The service address where the work will be done;
  • What you tell us about the job, and whether you are a new or returning customer;
  • Your service history with us — what was cleaned, when, and the notes our technicians recorded.

When you pay

Payment is normally taken at the time of service. Card details are handled by our payment processor and are not stored by us; we keep a record that payment was made, the method and the amount.

At your property

Our technicians take photographs of work areas before and after cleaning. Section 4 explains how these are used and how to opt out.

In your customer portal

If you use our customer portal, we hold your appointments, estimates and invoices there. Access is by a secure link sent to your email address, so there is no password for us to store.

When you visit our website

  • Your IP address, browser and device type, the pages you view, and how you arrived at the site;
  • Cookie identifiers set by us and by the services listed in Section 5.

We do not collect bank account numbers, passwords, salary, gender or age. We have no online store and no loyalty or points program.

Why we collect it

  • To do the work — prepare your estimate, schedule the job, get the crew to the right address, and follow up afterwards.
  • To keep proper records — your service history helps us recommend sensible cleaning intervals and resolve any question about past work.
  • To stay in touch — appointment confirmations and reminders, and, if you have agreed to them, occasional offers and seasonal reminders.
  • To improve our website — understanding which pages people find useful.
  • To meet legal, tax and insurance obligations — including responding to a claim.

Text messages and phone calls

We may text you about an estimate or appointment you have asked for. We will only send marketing texts if you have separately agreed to receive them, and agreeing is never a condition of booking service.

Reply STOP to any message to opt out, or HELP for help. Message and data rates may apply. We do not sell or share your phone number with third parties for their own marketing.

Photographs taken at your property

Our technicians photograph work areas before and after cleaning. We do this to document the condition of the space, to train our crews, and to protect both of us if a question about the work comes up later.

These photographs stay internal unless you give us permission to use them. We will not publish a photograph of your home or business in advertising, on our website, or on social media without asking you first. When we do use one with your permission, we do not publish your name or address alongside it.

You can decline photography, or ask us to delete photographs of your property, at any time. Tell the technician or contact the office — it will not affect the service you receive.

Cookies and website analytics

We use cookies and similar technologies to run the website and understand how it is used. The services involved are:

  • Google Analytics and Google Tag Manager — measuring site traffic and which pages are useful. You can opt out at tools.google.com/dlpage/gaoptout.
  • Vimeo — hosting the video on our pages. Vimeo may set its own cookies when a video loads.
  • Accreditation seal providers — the trust and accreditation badges displayed on our site are served by third parties and may set cookies.

Most browsers let you refuse cookies or warn you before one is set, though parts of the site may not work properly if you block them.

Who we share information with

We share personal information only with companies that help us run the business, and only what they need to do their job. They are not permitted to use your information for anything else. These include:

  • Housecall Pro — our scheduling, invoicing and customer portal software, which holds customer and job records;
  • Our website host and website maintenance provider;
  • Our payment processor;
  • Our email and text messaging provider;
  • Our accountants, insurers and legal advisors, where needed.

We may also disclose information when the law requires it, to respond to a valid legal request, to establish or defend a claim, or in connection with a sale or transfer of the business.

We do not sell your personal information, and we do not share it for cross-context behavioural advertising.

How long we keep it

We keep customer and service records for seven years, because service history matters for warranty questions, insurance claims, tax records, and recommending cleaning intervals. Website analytics data is kept for a shorter period set by the analytics provider. When we no longer need information, we delete it or make it anonymous.

Your choices and rights

  • Marketing — unsubscribe from any marketing email using the link at the bottom of it, or reply STOP to any marketing text. You will still receive messages about work you have booked.
  • Your records — you can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it.
  • Photographs — see Section 4.

To make any of these requests, contact us using the details in Section 11. We will respond within 45 days. We will not treat you differently for exercising any of these choices.

Oregon’s Consumer Privacy Act gives Oregon residents rights of this kind against companies above a certain size. We are below that threshold, so the law does not currently apply to us — but we extend these choices to every customer regardless.

Security

We use physical, technical and procedural safeguards to protect the information we hold, and we limit access to staff who need it to do their jobs. No system is perfectly secure, and we cannot guarantee the security of information sent to us over the internet.

Children

Our website and services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

If we change this policy we will update the effective date at the top of the page. If the change is significant, we will say so on our website. We publish this policy in English and Spanish; if the two versions differ, the English version governs.
